Booking Conditions and Cancellation Policy

Please read carefully the booking rules below. Every booking, after its confirmation, has contract value according to the current Italian law. The contract is binding for the person making the reservation and for all other subjects mentioned in the same, including minors.

 

1. Booking

It is possible to send a request for availability and await our response. You can book online following the instructions available on our website www.ilchiostrostrostrodellecererie.it

Upon request you will receive an offer (non-binding). The booking will be confirmed only after our written notice indicating the total price of the stay and after the payment of the deposit, to be made within 3 days of our confirmation. If the payment is not made on time, the reservation is not valid.

The reservation becomes binding only upon receipt of a copy of the payment receipt of the deposit or credit card details on which to make the authorized withdrawal.

Regarding to the previous information, Il Chiostro delle Cererie Hotel will undertake to send the customer a confirmation e-mail or a summary voucher to be presented at check-in. Confirmation of booking implies acceptance of our cancellation and deposit terms. We kindly ask you to check the accuracy of the above confirmation data and to inform us as soon as possible of any anomaly. The communication must be received no later than 4 days after receipt of the communication. After this term we disclaim any responsibility for any inaccuracies. Upon arrival it’s mandatory to present a valid identification document for each person. In order to make changes to your booking you must contact the reception staff, who will do everything possible to meet your request. However, we cannot guarantee that this will be done. If the reservation is moved to a period for which the price is higher than the amount paid, the customer is obliged to pay the difference. The prolongation of the stay requires an additional reservation, and is subject to availability and price changes.

2. Payment

General terms and conditions:

A confirmatory deposit (excluding tourist tax and optional services) is required within 3 days from the date of confirmation of the booking. In case of no receipt of the deposit within the indicated dates, the booking is void. The same applies for the balance. In case of non-payment of the balance, the booking will be cancelled. The amount of the deposit is equal to 30% of the amount of the stay.

As provided by the Italian Civil Code art. 1385, will not be returned in case of cancellation or no-show.

Accepted payment methods: bank transfer and credit card.

The balance of the booking must be paid on arrival at the property. Any extras must be paid before departure.

It’s necessary to send the copy of the transfer receipt by email: info@ilchiostrodellecererie.it indicating the date of your booking, the telephone number and the email address.  The transfer must be made within 3 days from the date of booking.

Pre-authorization:

Il Chiostro delle Cererie Hotel reserves the right to check the validity of the credit card before the arrival of the customer requesting a pre-authorization of the credit card. The pre-authorization guarantees to the hotel the temporary availability of the total amount of the stay, to ensure that the credit card is valid. NO AMOUNT IS COLLECTED. The pre-authorization expires automatically after 20 days from the requested date and the amount is released. In case of pre-authorized with negative result the customer will be notified and the reservation will be cancelled. In this case the hotel will not have any obligation towards the customer.

3. City tax

Established by the municipality of Matera the City tax in reference to the type of Hotel is equal to 2,00€ per day per person (excluding children under 14 years) for a maximum of 3 consecutive nights. This is not included in the room rate and must be paid directly on the spot by the clients, in cash, except for the exemptions and reductions provided by the municipal regulations available on the website:

4. Cancellation Policy (individual)

Any cancellation must be notified written. For cancellation conditions please refer to your booking confirmation.

In case of cancellation:

Up to 21 days prior to arrival in the hotel cancellation is free.

In case of cancellation of the stay from 20 to 8 days prior to arrival at the Hotel, an amount of 30% will be charged.

In case of cancellation of the stay from 7 to 3 days prior to arrival at the Hotel, we will charge an amount of 50%.

In case of cancellation of the stay from 3 to 1 day prior to arrival at the Hotel or in case of no-show will be charged 100%.

Cancellations for holiday periods (Christmas, New Year, Easter etc.) or High Season (23 July-5 September): will be accepted up to one week before check-in date.

Il Chiostro delle Cererie Hotel reserves the right to charge the total amount due in case of cancellations after this period.

No refund is due to the guest who decides to interrupt the stay already undertaken and therefore is obliged to pay the entire stay booked.

No Show:

In case of no-show, we will withhold the deposit, or we will charge to the credit card given as a guarantee of the cost of the stay..

5. Booking and Cancellation Policy (Groups)

By making a booking, the person who completes the process is identified as the contact person of the group and confirms to be authorized by the other participants to adhere to the Booking Conditions and the Cancellation Policy of Il Chiostro delle Cererie Hotel. The contact person of the group is responsible for the total invoice for all the bookings confirmed by him. Requests after the expiration date must be communicated directly and exclusively by the group leader. Group reservations are not able to be modified. It would be necessary to cancel the booking and make a new one.

Deposit:

A deposit of 30% to 50% of the total amount of services booked will be required to confirm the booking. The deposit is never refundable.

Rooming list:

The group’s contact person is responsible for sending the final guest list as soon as possible and no less than 15 days before arrival.

Cancellations must be received in writing (by e-mail)

Cancelled bookings will be subject to penalties as follows:

In case of cancellation:

Up to 30 days before arrival in the hotel cancellation is free.

In case of cancellation of the stay from 29 to 15 days prior to arrival at the Hotel, an amount of 30% will be charged.

In case of cancellation of the stay from 14 to 7 days prior to arrival at the Hotel, we will charge an amount of 50%.

In case of cancellation of the stay from 6 to 1 day prior to arrival at the Hotel, we will charge an amount of 100 %.

In case of “no show” or early departure a penalty equal to 100% of the entire stay will be charged.

Early departures will be charged for the entire booked stay.

Confirmation of booking implies acceptance of our cancellation and deposit terms.

6. Unavoidably reasons

The management disclaims all responsibility for service failures due to lack of supplies, accidental faults to equipment or other causes of force majeure. You disclaim any liability for damage caused by other guests, weather events, natural disasters, epidemics, diseases and theft.

Any special requests must be made at the time of booking. Although we will ensure that you are satisfied in all requests, as long as they are reasonable, we cannot guarantee that every request is met. We will not be able to accept bookings in which a special condition of fulfilment of a special request is specified. All reservations will be treated as “standard” bookings subject to the above provisions of the special requests. In case of health problems or disabilities that may affect your stay, please inform us before the booking confirmation. Should we reasonably consider that we cannot satisfy the particular needs you have indicated, we reserve the right to decline your reservation or, if such information does not arrive at the time of booking, will not be taken into account later.

Travel documents

The guests are responsible for all travel documents and vouchers. You will not be refunded if, due to non-performing travel documents, you cannot make or complete your stay and we will not be responsible for the additional costs you may incur as a result.
